Understand the Add Documents Dialog

The Add Documents dialog allows you to customize how documents are named when being added to a case. The Add Documents dialog appears when you attempt to add a document to your case.

Naming options in the Add Documents dialog include the following:

Option

Definition

Name Items Using

The selected option defines how the document is named. Options include:

  • File Name - The file name of the selected document. This is the default option.

  • Starting With - Document name is replaced with the text entered in the field to the right of this option.

Prefix to Add to Each New Id.

Fill in this field to add a text prefix that will appear before the new number sequence. For example, you can use the initials of the party responsible for the documents, or use another type of naming convention (e.g. EX, SK, .etc).

Create Single Document from All Items

Check to combine all selected documents into a single document during the import process.

Page Delimiter

This dropdown contains different options to separate the page numbers from the Document Id or Exhibit numbers. A page delimiter is not required.

Page Number Digits

This dropdown provides options for the number of digits for page numbering.

Note: Page number digits are to ensure pages do not fall out of order. Provide enough digits in your sequence for as many pages as there are in the document with the most pages. For example, if you have 12 pages in a document, you only need two digits (e.g. "01", "02", "03", .etc). Two digits provides enough digits to number 99 pages. However, if you have 10,456 pages, you would need five digits (e.g. "00001", "00002", "00003", .etc). Five digits provides enough digits to number 99,999 pages of a document.

Exclude Page 1 Suffix

With this option selected, every page in a multi-page document is named after the Doc Id and has a page number suffix appended to it, except for the first page. For example, the first page of a document named ABC001 would also be named ABC001, while the second page would be named ABC001 - 002, and the third ABC001 - 003. This option is only available if you selected File Name for the first option in the dialog.

Include Page 1 Suffix

With this option selected, every page in a multi-page document is named after the Doc Id and has a page number suffix appended to it, including the first page. For example, the first page of a document named ABC001 would be named ABC001 - 001, while the second page would be named ABC001 - 002, and the third ABC001 - 003. This option is only available if you selected File Name for the first option in the dialog.

Sequential Bates Numbering

Select this option to increment every page of a multi-page document using the Doc Id as the starting point. For example, if a document is named ABC001, and there are three pages in the document, the pages would be named ABC001, ABC002, and ABC003, respectively. This option is only available if you selected File Name for the first option in the dialog.

Document Level Sequencing

Check this box if you want to add numbering for each document. Pages of documents are not sequenced. This option is only available if you selected Starting With for the first option in the dialog.

Page Level Sequencing - Document and Page

Check this box if you want to add numbering for each page in a document. Pages of documents are automatically detected during the Add Document process. Sequencing documents with the Page Level Sequencing option selected would end up looking something like this depending on the different Document or Page option:

This option is only available if you selected Starting With for the first option in the dialog.

Note: If you do not check this box, each individual page will receive an increment of the starting number provided as shown below:

As seen in the Documents explorer (notice the numbering jumps from "01" to "11", and so on):

Page Level Sequencing - Page Only

Check this box if you want to add numbering for each page in a document. This option is only available if you selected Starting With for the first option in the dialog.
