Edit Pick or Name Lists in Record View

A field may include a list of values from which you pick a needed value. A pick list is unique to the field. A name list is one list that is used for all fields sharing common values (such as email To, From, CC/BCC, and Reply To fields).

If a field is a MULTI_VALUE type, you can select multiple values. If you have needed permissions, you can add new values to the pick or name list. The following types of Pick/Name lists can be edited.

Use the following procedures to work with pick or name lists in Record View.

Open the Review Module

  1. On the Dashboard, click the Review module.

  2. Select a Client and Case and click Open.

Single Value Lists

To edit a SINGLE_VALUE field has been defined as a pick or name list:

  1. In Record View, ensure you are in Edit mode ( is clicked).

  2. Click corresponding to the field being edited, then scroll in the list and click the needed value. Skip to step 4.

  3. If the needed value does not exist, double-click in the field, enter the new value, and press Enter. Click Yes in response to the confirmation message.

  4. Press the Tab key (or Shift+Tab) to complete the edit and navigate to the next (or previous) field in the coding form and continue editing.

TIPS:

  • If you add a new value(s) to a pick/name list, make sure that each value is selected for at least one record before you quit Review. Otherwise, unused values will not be saved.

  • To delete a value completely from a pick/name list, it cannot be selected for any record. Therefore, change it to another value for all records for which it exists, then save and quit Review. When you restart, the value will no longer be in the list.

Multi-Value Pick/Name List, Single Selection

To select a single value for a MULTI_VALUE field that includes a pick or name list:

  1. In Record View, ensure you are in Edit mode ( is clicked).

  2. If nothing has been selected yet:

  3. Click the field and scroll in the list to locate a needed value.

  4. TIP: For long lists, if you know the starting letter of a needed value, type it to “jump” to that location in the list, then go to the next step.

  5. Click the value.

  6. Press the Tab key (or Shift+Tab) to complete the selection and navigate to the next (or previous) field and continue editing.

  7. If a value needs to be changed:

  8. Click the field and clear the option box(es) for the selected item(s).

  9. Click the field and press Enter. The list displays.

  10. Double-click the needed value.

  11. Press the Tab key (or Shift+Tab) to complete the edit and navigate to the next (or previous) field in the row and continue editing or use other keyboard shortcuts to navigate in the table or stop editing.

Multi-Value Pick/Name List, Multi-Selection

To select more than one value for a MULTI_VALUE field that includes a pick or name list:

  1. In Record View, ensure you are in Edit mode ( is clicked).

  2. Click the multi-value field. If values have previously been selected, press Enter to display the complete pick or name list.

  3. Scroll in the list to locate the needed value.

  4. Double-click the value, then press Enter to bring up the list again.

  5. Repeat steps 3 - 4 to add all needed values. All currently selected values will be listed.

  6. After all values have been selected, review the list of selected values.

TIP: Clicking in the field and pressing Enter toggles between the list of all values and the list of selected values.

  1. To remove one or more values, clear the option box(es).

  2. When the list is complete/correct, click in the field and press the Tab key (or Shift+Tab) to complete the edit and navigate to the next (or previous) field in the row and continue editing, or use other keyboard shortcuts to navigate in the table or stop editing.
