Manage Print Activities

The Ipro for desktop Print Manager allows you to configure one or more central printers (“batch” printers) for use in Review. Use of a batch printer frees up the resources of individual users’ computers and allows administrative control of various print options, such as use of banner sheets and printer-specific settings.

 

Note: You must have Super Administrator rights to configure and manage printer servers for Ipro for desktop.

 

Before You Begin

For greatest efficiency, identify the following aspects of printer server configuration before you begin:

  • Printer server names: Identification of the print servers configured within the Print Manager.

  • Use of banner pages to separate print jobs

  • Printer(s) to be used for each print server

  • A “batch printer” name (listed as an available printer in Review)

  • Printer options, including paper sizes, paper trays, and slipsheet paper trays

 

Change Print Manager Display

The Print window will remain on your desktop unless you take one of the following actions:

  • Select Menu > Minimize Display.
    Click the Print icon in the Windows status bar to reopen it.

  • Select Menu > Hide Display.
    To reopen Print, right-click its icon in the Windows system tray and select Show Display.

  • Select Menu > Close to quit working with print servers.

Change Existing Print Server Configuration

To modify an existing print server’s configuration:

  1. In Print, select Menu > Configure Print Server.

  2. If the Login dialog box appears, enter the Super Administrator user name and password and click OK.

  3. Select the needed print server and click OK.

  4. Complete any of the following steps to modify the print server configuration.

  5. Revise print server name: Click Modify Server Name, make needed changes, and click OK.

  6. Banners: Select a different banner option.

  7. Batch printer name: Click Modify Printer Name, make needed changes, and click OK.

  8. Local printer: To revise a local printer’s settings, select the printer and then change paper size, etc., options as needed.

  9. Delete batch printer: Select the printer, click Delete Printer, and click OK in response to the confirmation message.

  10. To add a new batch printer, click Add New Printer, enter a name and click OK. Next, select local printer and options.

  11. When all changes are complete, click OK.

Activate Auto-polling

Auto-polling allows the print server to automatically look for and process print jobs that users submit to a specified batch printer. With auto-polling, the print server is on a dedicated workstation.

If auto-polling is not used, you will need to manually start print jobs as described in Manage Print Jobs.

The following procedure assumes that the system directory has been configured for the Print Manager and that a print server has been defined and started.

To start auto-polling:

  1. In Print, select Menu > Auto-poll for print jobs.

  2. If the Login dialog box appears, enter the Super Administrator user name and password and click OK.

Manage Print Jobs

To manage print jobs sent to batch printers:

  1. In Print, select Menu > Manage print jobs.

  2. If the Login dialog box appears, enter the Super Administrator user name and password and click OK.

  3. Review active print jobs.

  4. As needed:

    1. Print the job list.

    2. View and/or modify print job details.

    3. Delete print jobs.

  5. When finished, click Cancel.

Create a History Report

To generate and save or print a report on print job activity:

  1. In Print, select Menu > Print history report.

  2. If the Login dialog box appears, enter the Super Administrator user name and password and click OK.

  3. Enter the period of interest. Use the Current or Previous Month buttons to quickly select one month at a time.

  4. Click Start to generate the report.

  5. Review report details.

  6. As needed:

    • Click Save to File to save the report to a plain text (.TXT) file.

    • Click Print and complete the Print dialog box to print the report.

  7. When finished, click Cancel.
