Overview: Jobs

eCapture is a fully-automated electronic evidence processing solution designed to perform electronic discovery, processing, and production tasks quickly and accurately. The following diagram outlines, at a high-level, basic system set up, Job creation, and Job execution. The order of the Job processing tasks may vary; however, this is a general representation of the process.

Discovery Jobs

When you create a Discovery Job, you select a directory of your data collection to be used for Discovery. When the Job is executed, the system traverses a directory of electronic data and examines the file types in that directory. As the directory is "discovered," all of the data in the directory is hashed and indexed. During discovery, the system:

  • Extracts embedded or attached items
  • Extracts text, existing OCR image-based files, and creates a searchable index for filtering data within the eCapture Flex Processor
  • Extracts a limited amount of metadata
  • Calculates Hash values for de-duplication purposes
  • Expands the data to disk

Once data has been discovered, it can be searched and processed as many times as needed. Rediscovering the same data is not necessary. For more information about Discovery Jobs, see:

Processing Jobs

Processing Jobs (PJ) are created from completed Discovery Jobs. The tasks performed when the Processing Job is executed depend on the Job options defined when you create the Job. When a processing Job is executed, the system can:

  • Image native files
  • Perform a full metadata extraction
  • Extract text extraction and OCR (as required). Any text already extracted or generated from OCR during Discovery will be used
  • Filter based on specified keywords, metadata, date ranges, or other criteria
  • Create placeholders for specified files
  • Perform de-duplication on the processed files

Note: You can Create Discovery, Data Extract, and/or Processing Jobs simultaneously from one centralized interface using a selected set of data. Existing containers may be selected at Job creation time or new sources can be added. A container that was already discovered cannot be re-discovered. Case (Project) level defaults are applied by default. Custom changes may be made for specific jobs manually.

You can deliver a Processing Job to a client by exporting it. The Process Export uses a wizard to facilitate exporting one or more Processing Jobs. For more information, see:

Data Extract Jobs

Data Extract Jobs (DEJ) are created from completed Discovery Jobs. Data Extract Jobs perform all the same actions as Processing Jobs, except for the imaging of native files. If imaging is not currently required for the discovered data, a Data Extract Job should be run instead.

When the Data Extract Job is executed, the system creates the following output:

  • A paginated text file
  • An extracted text file
  • The original file

For more information on Data Extract Jobs, see Create a Standard Data Extract Job.

Note: You can re-import previously exported Data Extract Jobs for further culling. For more information, see:

Export Jobs

Export Jobs can be created for completed Processing Jobs or Data Extract Jobs. Export Jobs create output from the Processing Jobs and Data Extract Jobs and create image and database load files that can be used, for example, to load into a reviewing application such as Enterprise Review or Ipro® for desktop. Multiple export options may be selected to produce image and database load files. Export Jobs can be divided into several categories:

  • Basic Processing Jobs and Data Extract Export Jobs
  • Eclipse and Relativity Autoload Export Jobs
  • Export Series Export Jobs
  • Overlay Export Jobs

You can also create special Processing Export Jobs and Data Extract Export Jobs that are autoloaded into Eclipse and Relativity. For more information, see:

Export Series Export Jobs

You can also create an Export Job from an Export Series. An Export Series allows the following:

  • Multiple jobs to be queued for an export and assigned to an Export Series.
  • Output of successive, unattended rolling exports with sequential image key numbering and volumes.

For more information, see:

Overlay Export Jobs

Overlay Export Jobs are used to create new load files for completed Export Jobs. Overlay Export Jobs can be created from a completed Process Export Job, a completed Data Extract Export Job, and from Eclipse and Relativity autoload Export Jobs.
