Overview: Processing Files

The Processing module of LOCAL DISCOVERY provides several simple-to-use tools for dealing with image, native, and OCR text files that need to be added to a case without using a load file, or when they are missing from a case.

Note: By default, you must have Super or Case Administrator rights to perform ingestion or bulk operations. These requirements may differ if the Super Administrator modifies privileges for a particular user.

Ingestion, Bulk TIFF, and Bulk OCR Overview

Processing makes it easy to add image or native files to your case when no load file exists. This process is called “ingestion.”

Tip: To view a workflow topic that describes the steps involved to process files, review a case, and create a production job, see Workflow: Process and Produce Documents.

  • Ingest Images: You can easily ingest images into your case using the Ingest Images wizard. For more information, see Ingest Image Files.
  • Ingest Natives: You can also ingest native files into your case. All major native file types can be ingested, including Microsoft Outlook® .PST and .OST files. For more information, see Ingest Native Files.
  • Create multiple documentation images (Bulk TIFF): You can create .TIF files (or .PNG for color) for document pages lacking images. The images will be created from native files. The result will be to add images to the case (the Image tab in Review) and to update the IMAGECNT field to reflect the correct number of pages for the document. For more information, see Create Multiple Document Images (Bulk TIFF).
  • Create OCR for multiple documents (Bulk OCR): Processing allows you to create OCR (including word coordinates for existing images) for document pages lacking OCR. You can use English or other language dictionaries.
  • Scan documents into case: You can define a scan session in LOCAL DISCOVERY, scan documents, and add them to your current case. For more information, see Overview: Scanning.

NOTE: For cases that had data imported through a load file prior to any ingestion taking place, users now have the option to use Streaming Ingestion as opposed to being required to use the Standard Ingestion method.

Scheduling Processing Jobs

Depending on the size of the database, system capabilities, and other factors, processing tasks may consume significant system resources and time, and may affect performance.

It is recommended that you carry out major processing during “off hours” to minimize the impact to the system and your users. For example, schedule activities at the end of the work day or on the weekend. Notify users who may work at these times of possible interruptions.
