About Document Production

Administration allows you to create a production data set from selected data in your database. The production output can be in a variety of formats, including TIFF, PDF, native files, and page OCR, based on the files defined in your database (that is, if you do not have native files in your case, native files will not be produced). Printed output is also an option.

A range of output options allows you to customize the output to meet your needs, and detailed summary and history records are maintained for administrative purposes. You can also save production settings in templates, making it easy to define production jobs and maintain consistency between jobs. The following figure shows the main production menu.

 

Privileges Required

By default, you must have Super or Case Administrator rights to produce a case. This requirement may differ if the Super Administrator modifies privileges for a particular user or group.

Basic Preparation for Creating a Production Set

Prepare for production with the following actions:

  • Production Shield: IPRO Production Shield adds a layer of protection for documents that should not be produced. A saved search is selected in Production Shield; documents meeting the search criteria (and optionally document families) will not be producible. To configure Production Shield, see Configure Production Shield.

  • Review completion: In most cases, the document review process should be completed before you produce a document set. Documents should be tagged, redacted, and annotated so that you will be able to create appropriate production set(s) as required by the requesting organization (such as an internal department, opposing counsel, or a government agency).

  • Production planning:

    • Identify which documents are to be produced—whether it is an entire case, a subset, or specific documents. Identify them by image key (BEGDOC field) before you begin.

    • Determine what types of files should be produced.

    • If a production template exists that matches some or all of the production settings needed, identify the template to be used.
  • Database backup: Before running a production, it is recommended that you back up your database to preserve a snapshot of the production.
